ORTHODONTIC TREATMENT COORDINATOR-- QUISPAMSIS NEW BRUNSWICK
We are seeking a highly motivated, professional, detail-oriented, well organized and team player Treatment Coordinator to join our team at our state-of-the-art orthodontic clinic in Quispamsis, New Brunswick!
We are seeking a self-motivated, hard-working, detail-oriented, people-centered individual who will work directly with our orthodontist during new patient consultations as our Treatment Coordinator. The successful candidate will be a natural when it comes to people, be an excellent communicator and takes pride in delivering an exceptional patient experience, working directly alongside the orthodontist. We want to work with people who are self-starters, have excellent time management skills, are excellent at multi-tasking and regularly go ‘above and beyond’ as a default. The treatment coordinator is an extended representative of the doctor and the practice, and as such professionalism and strong interpersonal skills are of paramount importance. The Treatment Coordinator builds relationships with patients, parents, general dentists and specialists and is an ambassador to the clinic. The treatment coordinator is present during each patient consultation with the orthodontist. The primary responsibilities of this position is taking care of prospective patients and their families, discussing orthodontic treatment options (dental and orthodontic knowledge is considered an asset), following up with prospective patients, coordinating appointments and working alongside Dr. Papadopoulos during consultations each day. Being very organized, self-reliant, and detail-oriented is essential. The goals of the treatment coordinator are to listen to the patient's needs and expectations, use their verbal skills to create and nurture relationships, and to maintain the patient's trust and confidence in our doctor and team – all with the goal of helping patients begin their orthodontic journey at PapadopSmiles Orthodontics.

Key Responsibilities:
• Providing a patient experience that is second to none and building a personal connection with patients at each and every phone call and in-office visit
• Time management skills and being a self-motivated learner are absolutely essential in order to succeed in this position
• Making numerous outbound phone calls and emails with patients who require follow-up each day. The ability to learn and optimize our practice management software is critical
• Greet patients warmly and ensure a comfortable and welcoming environment.
• Working together with the office manager and doctor on a daily basis
• Updating patient records and examination notes in an organized fashion
• Very well organized with practice management software, working with Excel/spreadsheets, handling incoming and outgoing digital e-faxes, phone calls, coordinating appointments and working at a fast pace
• Intermediate to advanced computer knowledge (MS Excel/MS word/MS OneDrive/BlueTooth/Cloud knowledge is imperative)
• Thoroughly document and record all patient treatment notes in patient charts
• Discuss treatment fees and payment options, the financial contract and other relevant information with the responsible parties during their consultation appointment
• Educate patients on treatment options, financial arrangements, and insurance coverage.
• Ability to type voice dictations from the doctor quickly (excellent typing skills)
• Prepare and send all appropriate follow up communication in a timely and efficient manner
• Assist in managing the flow of the office to optimize patient care and operational efficiency.
• Calling patients for any follow-up and answering any patient questions
• Sending receipts to patients and any insurance forms/paperwork
• Respond to patient communication (emails, calls, texts, etc..) in a timely manner and collaborate with patient service coordinators on a daily basis to coordinate and schedule appointments for patients beginning their orthodontic treatment
• Calling various insurance companies to determine insurance coverage
• Maintaining a positive attitude and work cohesively with other team members to maintain atmosphere of respect, trust and teamwork
• Delivering reports and evaluating relevant metrics with the office manager
• Accountability and a strong work ethic with great flexibility
• A team player who confidently develops strong relationships, but who is also a natural self-starter and can work independently at length
Required Skills and Abilities:
• This position can be challenging- you must be a self-starter and a quick and active learner
• Integrity, reliability and be passionate about our clinic with a willingness to work hard in a constantly evolving environment
• Previous experience in a leadership administrative role is considered an asset
• Previous experience working at an orthodontic clinic is considered an asset
• Naturally be a very personable and professional communicator; able to quickly develop a rapport with prospective patients (both in person and on the phone)
• Warm and inviting personality that builds trust with our patients and which also fosters a great team environment for the clinic
• Excellent interpersonal and communication skills; written and verbal
• Excellent listening skills with the ability to ask relevant questions, understand concerns, and help prospective patients begin orthodontic treatment
• Superior time management and organizational skills- ability to work on the fly in a fast-paced environment with excellent computer skills (critical)
• Ability to plan, multi-task and manage time effectively with the ability to quickly pivot between tasks
• Excellent proficiency with Microsoft Office, particularly MS Excel. Strong data entry skills, attention to detail, ability to formulate and edit workbooks on MS Excel
• Inherent ability to thrive in a high-paced environment (this is not a ‘slow paced’ environment)
Education and Experience Requirements:
· education is required
· A minimum of 1 year in related experience (as a treatment coordinator) is required OR a minimum of two years of experience working in a dental or orthodontic office
· Candidates without any experience in the dental field will still be considered, but must have a strong background in the above mentioned job requirements and truly feel they would thrive in this position (for example, work experience in sales would be beneficial)
